Privacy Policy
How MedVía collects, uses, and protects your information.

Who we are
This Privacy Policy describes how ViaGentech, Inc., doing business as MedVía (“MedVía,” “we,” “us”), collects, uses, and shares personal information when you visit medvia.ai and its subdomains (the “Site”), contact us, book a conversation with us, or receive Medicare education or enrollment assistance from a MedVía advisor (together, the “Services”). MedVía is a licensed insurance agency. Our mailing address is 3679 Eberhart Road, Whitehall, PA 18052. Questions about this policy go to privacy@medvia.ai.
Information we collect
Information you give us. When you fill out a form, book an appointment, request the whitepaper, email us, or speak with an advisor, we collect what you provide. That may include your name, email address, phone number, mailing address, date of birth, organization and job title, the credit union you belong to, and anything you tell us in a message or conversation.
Information about your coverage needs. If you ask for help with Medicare, we may collect information needed to evaluate your options, such as your Medicare number, current coverage, prescriptions, doctors, and health conditions. We collect this only when you choose to share it for that purpose.
Information from your credit union. If your credit union offers a MedVía program and you have given your credit union written permission to share your information with us, we may receive your name, phone number, and date of birth from the credit union. We do not receive account balances, account numbers, Social Security numbers, or other financial account information from any credit union.
Information collected automatically. When you use the Site, we and our service providers collect device and usage information such as IP address, browser type, pages viewed, time on page, referring site, and general location derived from your IP address. We use cookies and similar technologies for this, described under “Cookies and tracking” below.
Call recordings. Conversations with MedVía advisors about Medicare plans may be recorded where the law requires it or where you have consented. You will be told at the start of a call when it is being recorded.
How we use information
- To respond to you, schedule and hold appointments, and deliver what you asked for, such as the whitepaper.
- To provide Medicare education, compare plans available in your area, and, if you choose to enroll, complete the enrollment with the insurance carrier.
- To provide a yearly coverage review and other follow-up you have agreed to.
- To communicate with you by email, phone, or text message. You can opt out at any time; see “Your choices.”
- To operate, secure, and improve the Site and the Services, including understanding which pages people visit.
- To comply with law and regulation, including federal and state Medicare marketing rules, insurance licensing requirements, and record-keeping obligations.
- To work with credit union and other partners that offer MedVía programs, including reporting on program activity. Reporting to a credit union is provided in aggregate or, where individual information is shared, only with your permission or as the law allows.
How we share information
We do not sell personal information, and we do not share it with third parties for their own marketing. We share information only as follows:
- With insurance carriers, when you choose to apply for or enroll in a plan, to the extent needed to process your application.
- With service providers that help us run the Site and the Services, such as our customer relationship and scheduling platform (HubSpot), website hosting (Vercel), and email and document services (Microsoft). They may use your information only to provide services to us.
- With the credit union or partner whose program you came through, as described above.
- With licensed advisors and staff who work with MedVía and are bound by confidentiality obligations.
- When required by law, regulation, subpoena, or a government or regulatory request, including insurance regulators and the Centers for Medicare & Medicaid Services.
- In connection with a merger, acquisition, financing, or sale of all or part of our business, subject to this policy.
- With your consent or at your direction.
Health and coverage information
Information about your health and coverage is used only to help you evaluate and enroll in coverage and to service that coverage afterward. We do not use it for any other marketing purpose and we do not sell it. Where federal or state law applies additional protections to this information, we follow them.
Cookies and tracking
The Site uses HubSpot’s tracking code, which sets cookies to recognize repeat visits, measure which pages are viewed, and connect a form submission to the visit that produced it. We use this to understand how the Site is used and to follow up with people who have contacted us. The Site does not use advertising networks or retargeting pixels.
You can block or delete cookies through your browser settings. Doing so will not stop the Site from working. Browsers do not yet agree on a standard for “Do Not Track” signals, so the Site does not respond to them.
Text messaging
If you give us your mobile number, you agree that MedVía and its advisors may call or text you at that number about appointments, Medicare education, your coverage, and follow-up you have asked for, including by automated dialing or texting systems. Your consent is not a condition of receiving any service or buying any product. Message frequency varies. Message and data rates may apply. Reply STOP to any text to stop receiving texts, and reply HELP for help. Mobile carriers are not liable for delayed or undelivered messages. We do not share your mobile number or texting consent with third parties for their own marketing.
Your choices
- Email. Every marketing email includes an unsubscribe link. Transactional messages about an appointment or an enrollment are not marketing and will continue.
- Phone and text. Tell any advisor, reply STOP to a text, or email privacy@medvia.ai and we will stop.
- Access, correction, and deletion. Email privacy@medvia.ai to ask what personal information we hold about you, to correct it, or to ask us to delete it. We will respond within the time the applicable law requires, and we may need to verify your identity first. We may keep information we are required to retain by law or need to complete a service you requested.
Residents of states with consumer privacy laws may have additional rights, including the right to know, correct, delete, and limit the use of personal information, and the right not to be discriminated against for exercising those rights. To exercise any of them, email privacy@medvia.ai.
Data retention
We keep personal information for as long as needed for the purposes above and to meet our legal and regulatory obligations. Records related to Medicare marketing, enrollment, and call recordings are kept for the period required by federal rules, currently ten years. Website form submissions that do not lead to a service relationship are kept for 24 months and then deleted.
Security
We use reasonable administrative, technical, and physical safeguards to protect personal information, including encrypted connections to the Site, access controls, and vendor agreements. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Children
The Site and Services are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact privacy@medvia.ai and we will delete it.
Third-party sites
The Site links to other websites, including Medicare.gov, credit union sites, and our booking and form pages hosted by HubSpot. This policy does not cover those sites. Read their privacy policies before providing information.
Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows when it last changed. If a change materially affects how we use information you have already given us, we will notify you by email or by a notice on the Site before the change takes effect.
